4. Purpose and legal basis for processing personal data

Informa Oy stores and processes the personal data of its customers in accordance with the EU General Data Protection Regulation (GDPR, 2016/679) and the current Personal Data Act (523/1999) of Finland.

The register is used, for example, for the following purposes:

  • Managing customer relationships, e.g. Processing orders, deliveries, warranty issues and invoicing
  • Communication related to the customer relationship, e.g. various campaigns
  • Preventing data misuse

We follow data protection best practices in the processing of personal data and in the planning of the processing, including data minimisation, pseudonymisation and anonymisation, wherever possible. In the processing of personal data, we take into account the requirements of the EU’s General Data Protection Regulation (GDPR), which entered into force on 25 May 2018.

5. Data content of the register, personal data and retention period

Informa Oy’s customer register contains the following information:

  • First name and last name 
  • Company name 
  • Title 
  • Email address, homepage 
  • Phone number, mobile phone number 
  • Postal address 
  • Payment details 
  • Service language 
  • Customer identification number 
  • Consents to mailings 
  • Start date of the customer relationship, last date of contact 
  • Industry 

We will retain your personal data only for the time necessary to fulfil the purposes described in this privacy statement. The Finnish Accounting Act imposes obligations for longer-term data retention.

6. Data sources

  • Informa Oy is responsible for the accuracy of customer data. The customer can notify Informa about any incorrect data. 
  • We collect contact details at customer meetings and trade fairs, as well as through emails and phone calls. 
  • We receive personal data when you subscribe to our newsletter and fill in contact forms on our website.

7. Regular disclosures of data

We work with trusted contractual partners, enabling data to be transferred to a third party. All agreements with our partners take into account the requirements of the EU General Data Protection Regulation and other legislation.

8. Transfer of data outside the EU or EEA

The data in the register will not be transferred outside the EU or EEA.

9. Protection principles

A Printed materials
Printed data are stored in locked premises at Informa Oy’s premises. Only the company’s employees have access to the premises. 

B Automatically processed data
Informa Oy stores customer data within the EU. The technical and organizational data protection measures for our data centres and sales systems are of a high standard. The servers are protected against data breaches and denial of service attacks.

Only the controller and designated persons have access to the register’s data. Only designated persons are entitled to process and maintain the data in the register. The data contained by the register are backed up securely and can be restored if necessary. Appropriate technical and administrative measures shall be taken to ensure the security of the register and the confidentiality, integrity and availability of personal data.

10. Rights of the data subject

Data subjects have the right to:

  • Request access to personal data concerning them from Informa Oy and the right to request the rectification or erasure of their personal data or the restriction or objection of processing, as well as the right to data portability.  
  • In addition, where processing is based on consent, data subjects have the right to withdraw their consent at any time by contacting customer service. Withdrawing consent does not affect the lawfulness of processing that occurred before the withdrawal. 
  • Check and, if necessary, to rectify the personal data concerning them. The request must be made in writing to the controller. The data subject has the right to modify the data have been incorrectly recorded about them. 
  • Lodge a complaint about the processing of personal data with the supervisory authority.

11. Cookie policy

A cookie is a small text file that the browser stores on the user’s terminal device. Cookies contain a unique identifier that allows users to be identified. Informa Oy may use cookies on its website to provide services and to facilitate the use of services. Cookies alone do not allow the user to be identified. You can give your consent or refuse the use of cookies in your browser settings.

12. Visitor tracking

We use Leadoo visitor tracking to monitor users’ movements on our website and combine this data with user information collected through chat interactions, for instance. Leadoo uses Etag tracking. The technical implementation of Etag tracking is different from cookie-based tracking, but the same legal requirements apply to it.
